Payroll Specialist

Are you a detail-oriented professional with a passion for ensuring accurate and timely payroll processing across multiple entities and countries? We are seeking a Payroll Specialist to join our dynamic team and play a vital role in managing our end-to-end payroll processes.

As a Payroll Specialist, you will collaborate closely with our People Department, Finance Department and external payroll providers to oversee payroll operations for multiple entities spanning different countries.

This is a flexible role, with a hybrid work model, where you will be required to come to the office in Malta once or twice a week. 

All the responsibilities we'll trust you with:

  • Manage the payroll process for several entities in several different countries

  • Be the point of contact between the People Department and Finance Departments and our various Payroll providers.
  • Build relationship with payroll providers and clarify the processes that they will undertake to complete their service and how that fits into the internal process.
  • Create solutions and efficiencies to the way people data is collected and managed for payroll providers.
  • Manage and process consulting invoices including ensuring all relevant authorizations are obtained and any caps are adhered to.
  • Manage and process expenses claims including all relevant authorizations are obtained.
  • Stay informed of regulations in relevant countries where payroll entities are situated.
  • Implement and update payroll policies and procedures in line with changing regulations and in line with company policies.
  • Prepare and submit payroll related reports, documents and submission to relevant regulatory authorities as required.
  • Complete payroll calculations where required.
  • Respond to employee payroll queries/inquiries with care and attention and in a timely manner.
  • Assist the People Team in the on-boarding process for new starters.
  • Work closely Close collaboration with the People Operations Specialist, in order to ensure all documents required for payroll purposes are obtained and completed correctly and that the necessary follow up with the employee or consultant in question is had.. 
  • Assist the People Team in the on-boarding process for new starters.
  • Train employees on payroll policies, procedures and self service options for efficiency and to manage expectations.
  • Ensure clear and effective communication regarding changes to payroll processes.
  • Preparation of monthly payroll balance sheet reconciliations if required
  • Assisting the external auditors with audit requests, preparation of various audit schedules and resolving any issues identified during the testing procedures.
  • Providing additional analysis and financial support to Senior Finance Management Team as needed, for standard and ad hoc reporting requirements
  • Apply a continuous improvement ethos towards all processes 

What are the key experience and personal attribute requirements?

  • Proven experience in a similar Payroll Specialist role.

  • In-depth knowledge of international payroll practices and regulations.
  • Proficiency in payroll software/systems and strong analytical skills.
  • Excellent communication and interpersonal skills.
  • Fluency in English - both written and spoken. 
  • Ability to work independently and as part of a team in a fast-paced environment.
  • High level of accuracy and attention to detail.
  • Excellent problem-solving skills
  • Good level of Excel 
  • Based in Malta, with availability to come to office twice per week.

Nice to have: 

  • Bachelor's degree in Finance, Accounting, or related field.
